AxelleMD (“we,” “us,” or “our”) provides a health education service via our website and mobile app (“Services”). We value your trust and are committed to protecting your personal and health-related data. This Privacy Policy explains what information we collect, how we use and share it, and the rights you have regarding your data.

What Information We Collect

We collect information in three main ways:

  1. Information You Provide Directly
  • Account Information: When you create an account, you provide information such as your email address, birth year, time zone, and a password.
  • Health Data (Optional): You may choose to provide sensitive health-related data to enhance your experience, such as weight, blood pressure, symptoms, menstrual cycle details, pregnancy status, and lifestyle metrics (e.g., sleep, nutrition).
  • Community Contributions: We collect the comments, forum posts, and reactions you contribute. To protect your privacy, these contributions are displayed publicly in a pseudonymous manner, meaning they are not publicly associated with your account’s identifying information (like your email address). However, they remain linked to an internal user ID.
  • Communications: If you contact us for support or feedback, we will collect the information you provide in your communications.

2. Information Collected Automatically

  • Technical & Usage Data: We automatically collect data about how you interact with the Services. This includes your device type, operating system version, IP address, browser type, and usage details like frequency of use, features viewed, and user interactions. This is done through cookies and similar technologies (see Section 4 below).

3. Information from Third-Party Sources

  • Health Platforms (with your consent): With your explicit permission, we may import data from third-party platforms like Apple HealthKit or Google Fit. This could include data like heart rate, step count, and other wellness metrics. We only import the data you specifically authorize.

How We Use Your Data

We use your data for the following purposes, based on established legal grounds:

  • To Provide and Personalize the Services: We use your account and health data to deliver personalized content, features, and health insights, which is the core contractual necessity of our service.

  • To Develop and Improve the Services: We use aggregated and pseudonymized data for research and analysis to improve the quality and accuracy of the Services. This includes training our artificial intelligence models to provide more relevant health insights. Where personal data is used for this purpose, we apply minimization and pseudonymization techniques to protect your privacy.

  • To Communicate with You: We use your contact information to send essential account notifications, security alerts, and information about new features or updates, based on our legitimate interest to keep you informed.

  • To Maintain Security and Integrity: We process technical data to enhance security, monitor for fraud, and ensure the stability of the Services.

How We Share Information

Your trust is paramount. We do not sell or rent your personal information to third parties. We only share your data in the following limited circumstances:

  • With Our Service Providers: We share information with third-party vendors who perform services on our behalf. These companies are contractually obligated to safeguard your data and are prohibited from using it for any other purpose. This may include:

    – Cloud Hosting Providers (e.g., Amazon Web Services, Google Cloud) to store and secure your data.

    – Analytics Partners (e.g., Google Analytics) to help us understand usage patterns.

    – Communication Platforms (e.g., Firebase) to send you account notifications.

    – Customer Support Providers to help resolve your inquiries.

  • For Legal Compliance and Safety: We may disclose information if required to do so by law or in the good faith belief that such action is necessary to comply with a legal obligation (such as a court order), protect and defend our rights or property, or protect the personal safety of users or the public.

  • For Anonymous Research: We may share aggregated and fully de-identified data (data that can no longer be linked back to an individual) with partners for academic or scientific research purposes.

Cookies and Tracking Technologies

We use cookies and similar technologies to operate and analyze our Services. A cookie is a small text file stored on your device.

  • Types of Cookies We Use:

    – Essential Cookies: These are necessary for the Services to function and cannot be switched off. They are usually set in response to actions made by you, such as setting your privacy preferences or logging in.

    – Performance Cookies: These allow us to count visits and traffic sources so we can measure and improve the performance of our Services.

    – Functional Cookies: These enable the Services to provide enhanced functionality and personalization.

  • Your Choices: We will request your consent for non-essential cookies via a cookie banner when you first visit our website or app. You can manage or disable cookies at any time through your browser settings, though doing so may affect the functionality of the Services.

Data Retention

We retain your data only for as long as necessary to fulfill the purposes for which it was collected, for legitimate business needs, or as required by law. Our specific retention periods are as follows:

| Data Type | Retention Timeframe |

| Account & Settings | Until you delete your account or after 3 years of inactivity |

| Health & Interaction Logs | Up to 24 months after last use |

| Pseudonymized User Generated Content| Indefinitely (as they are part of the community knowledge base) |

| Support Inquiries | 24 months |

| Legal/Security/Audit Records | Up to 6 years or as legally required |

These retention periods may be extended where we are required to preserve your information in connection with litigation, investigations, or other legal proceedings.

Security of Your Information

We maintain industry-standard technical and organizational safeguards to protect your data, including:

  • Encryption of data in transit and at rest.
  • Strict access controls limiting employee access to data on a need-to-know basis.
  • Pseudonymization of sensitive data wherever feasible.
  • Regular security audits and risk assessments.

While we implement robust security measures, no system is impenetrable, and we cannot guarantee the absolute security of our systems.

Cross-Border Data Transfers

As a global service, your data may be transferred and processed in countries outside of your own, where data protection laws may differ. We ensure that adequate protections (such as the use of Standard Contractual Clauses) are in place for any international data transfers to ensure compliance with applicable laws.

Your Data Rights

We are committed to upholding your data rights under applicable law, including Ghana’s Data Protection Act, 2012 (Act 843) and, where applicable, the EU General Data Protection Regulation (GDPR). You have the right to:

  • Access, correct, or delete your personal data.
  • Withdraw your consent at any time for processing based on consent.
  • Request a portable copy of your data.
  • Object to or request a limitation on the processing of your data.
  • Lodge a complaint with a relevant data protection authority.

To exercise these rights, please contact us at `privacy@axellemd.com`. We respond to all verifiable requests within 30 days. If your request is particularly complex, we may extend this period by a further two months as permitted by law, in which case we will inform you of the extension and the reasons for the delay.

Children’s Privacy

Our Services are intended for users 16 years of age or older. We do not knowingly collect personal data from minors under 16. If you believe we have inadvertently collected such data, please contact us at `privacy@axellemd.com` immediately so we can take steps to delete it.

Updates to This Policy

We may update this Privacy Policy periodically. If we make a material change that affects your rights or how we handle your data, we will notify you via email or an in-app notification and may require you to review and affirmatively accept the new policy to continue using the Services. Non-material updates will be posted with a new “Last Updated” date.
